TOPPER & WICK

Custom Cake Toppers: A Wholesale Sample Checklist

Define the topper, support, artwork and pack as separate specifications so wholesale cake decoration samples can be reviewed consistently.

A custom cake topper brief should define the decoration, its support, the approved artwork and the complete pack. These are separate purchasing decisions. For a wholesale order, an attractive front view is only one part of sample approval; buyers also need a clear component count, dimensions and packing arrangement. Choose the decoration format Start with the intended cake presentation and the buyer's distribution channel. A paper flower topper, suspended paper bunting, textile pom-pom pick and miniature balloon decoration kit have different components and review needs. TOPPER & WICK includes these formats in its sourcing range. Select the relevant product family before developing the artwork or comparing quotations. Write the finished width and height of the decorative element separately from the total height including the pick. If several pieces form one arrangement, identify the number of pieces and the planned spacing. State the cake size or display area used as a design reference; it does not automatically establish suitability for every cake. Make artwork approval traceable Supply buyer-owned or appropriately licensed graphics, the exact wording, a reference layout and the intended color combination. Ask for the proposed cutting outline and production file requirements. Keep artwork version numbers on the proof and on the sample approval record so that an earlier spelling or layout cannot be mistaken for the final instruction. Review the reverse side as well as the front. Confirm whether it is plain, printed or assembled in a particular way. For bunting, specify flag count, sequence, lettering direction and overall span. For flower or shape sets, identify each design instead of ordering an undefined mixed pack. Specify supports and assembly Record the proposed pick material, length, attachment method and whether the product arrives assembled. Ask for a component drawing when a kit contains separate parts. Where any part may contact a cake, identify that intended use and request the appropriate material information and order-specific review. A decorative appearance or a wooden support alone does not establish food-contact suitability. Do not describe the topper as edible. Keep candles, decorative picks and other accessories clearly distinguished in the product brief. If buyer assembly is needed, request understandable component identification and instructions suited to the intended market. Use a repeatable sample checklist Check the approved wording, cutting accuracy, visible edges, print alignment, color relationship, component count and finished dimensions. Inspect how the decoration joins the support and record any variation accepted by the buyer. Review the proposed pack with all components in place, rather than examining loose parts alone. For flat paper shapes, look for bending or rubbing after handling the proposed pack. For three-dimensional pieces, check that the packaging provides room for their shape. Agree the required transport evaluation with the supplier; a sample that arrives intact is useful evidence about that shipment, not a guarantee for every future route. Complete the commercial brief Give quantities per design and pack, destination, labeling language, barcode allocation where needed, and the desired delivery window. Ask the quotation to identify sampling, tooling where relevant, packing and assembly costs separately. Minimum quantities and timing remain subject to the final specification and sample approval. Common procurement questions Can one pack mix several designs? Yes, as a proposed assortment, but define the quantity of each design and ask for a written quotation. Is a digital proof enough? It confirms the layout only to the agreed extent; use a physical sample to evaluate construction and packaging. What should be retained for repeat orders? Keep the final artwork, dimensions, component list, pack layout and dated approval record.
